AAdvertising
Opportunities
Advertise in the CONFERENCE PROGRAM,
which is distributed on-site to all paid
registrants. This program is a
comprehensive listing of all symposia, plenary
lectures, workshops, business meetings,
receptions and exhibitors. Attendees use
it in planning their Annual Meeting schedule
and as a reference after the conference.
The program will be approximately
5 ½” by 8 ½”.
Only two ad sizes are available –
full-page and half-page. Advertisements
are in black and white. Camera-ready
copy must be submitted by November 1, 2004.
Ad copy may also be submitted electronically,
please call Travelink for details.
The cost of advertising
in the program is:
Full Page (4 ½ ” x 8”)
= $490
Half Page (4 ½ x 4”) = $335
No ads accepted
after November 1, 2004. |
Exhibitors
Show Management Convention Services
will send an Exhibitor Services Kit
to all exhibitors registered by November 1, 2004.
This kit will contain comprehensive information
about Move-In/Move-Out times, Freight Handling,
Electrical, Other Rental needs, and Ancillary
Services provided by other vendors, such as Audio-Visual,
Computers, and Telecommunications. Show Management
will charge a materials handling charge. This
fee is NOT included in the SSWR exhibitor fee.
No shipments can be made to the Hyatt
Regency or to SSWR staff.
All Exhibitors Must Register for the
Conference.
One registration fee, in the amount of $250.00,
is included in each booth fee.The cost of one
additional exhibit staff person is $50.00. Any
additional staffperson will be required to pay
the full conference registration fee of $250.00
prior to December 1, 2004. After December 1, 2004
the late registration fee is $275.00. The on-site
registration fee is $300.00.
Registration fees entitle those registered to
a conference tote bag, participation in conference
sessions, receptions and other on-site activities
that are open to all participants in the conference.
A check or money order for the additional registration
fees needs to be made payable to Travelink, Inc.
Exhibit booths are assigned by date that application
and payment are received. Phone requests will
not be accepted.

What You Get with Your Booth
- The exhibit space will be located in the
Riverfront Hall. SSWR provides the following
equipment and services for exhibitors:
- One 8’ x 10’ booth consisting
of 8’ high back drapes and 3’ high
side drapes
- One 6’ draped table and 2 chairs
- One Wastebasket
- Standard 7” x 44” booth signs
displaying exhibitor’s name, city, state,
and booth number
- General exhibit area cleaning
- One full conference registration—BE

Booth Sharing
Booth sharing is permitted; however, no more than
two organizations may share one booth and SSWR
will not match shared booth space. The total cost
of the booth fee must be submitted with the Exhibitor
Registration Form from each participating organization.
If an exhibitor withdraws from the exhibit at
any time, the other exhibitor with whom they were
sharing a booth is fully responsible for the entire
booth fee balance. The withdrawing exhibitor will
be charged a $100 administrative fee for withdrawing.
“Take One” Table
There will be one table designated as a “Take
One Table”. Organizations or individuals
must place their own materials on this table and
remove them at the end of the conference. This
area will not be staffed. No materials may be
shipped to SSWR for this table.

exhibit area is scheduled to be open from
8:30 am until 5:30 pm on Friday, and until
6:30 pm on Saturday. Most conference attendees
will arrive on Thursday, January 13, 2005.
The exhibit will be open for installation
on Thursday from 1:00 pm until 6:00 pm.
Cost of exhibit: Single booth = $800; Shared
